Cancellation & Refund Policy

Contact me to cancel or reschedule
Email cindy@virtualnotary.pro as soon as your plans change. Include your name, appointment date and time, and whether you want to cancel or reschedule. Do not include confidential document contents. An intake submission is a request, not a confirmed appointment.
Cancellation and no-show fees
I do not impose a cancellation, late-arrival, or no-show fee under this policy. Please give as much notice as possible so I can release the appointment time. This policy does not change my published service prices.
Late arrival and missed appointments
If you are running late, email me. Depending on availability and the time needed for lawful completion, I may need to reschedule. If you miss the session, contact me to arrange a new appointment. I will not rush required identity checks or notarial procedures to make up lost time.
Documents, identification, and technical problems
Incomplete documents, unavailable witnesses, failed identity verification, insufficient identification, connectivity problems, or other eligibility issues may prevent completion. I will explain whether a retry or rescheduling is appropriate. I cannot guarantee that verification will succeed or that a document qualifies for online notarization.
Unused services and third-party costs
If you cancel before the service is performed, or an appointment cannot lawfully proceed, I will refund prepaid amounts for services not performed. The only potential deduction is an actual third-party cost that was lawfully incurred for your request and clearly disclosed and expressly accepted as nonrefundable before it was incurred, where permitted by law. No notarial fee will be retained for an act I do not perform.
If I cancel or my technology fails
If I cannot provide the agreed service because of an issue on my side, you may choose an available rescheduled appointment or a refund for the unperformed service. You will not be charged a cancellation fee.
Completed services and reported errors
A properly completed service is not automatically refundable merely because you change your mind afterward. If you believe I made an error, contact me for review and an appropriate correction or refund. This policy does not limit remedies required by law or make you responsible for my errors.
Refund handling
When a refund is approved, I will confirm the amount and initiate it promptly, generally through the original payment method where available. The payment provider or bank controls posting time. Provider-specific processing information will be supplied when payment services are activated.
Changes and acceptance
I will make this policy available before an appointment is confirmed. Any future change in cancellation terms or fees will be disclosed before booking and will not apply retroactively to an already accepted appointment without the required agreement.
